1. Description

It is designed to customize the Contact.

It consists of the following elements:

  1. Top bar (Fig.1(1));
  2. Sidebar (Fig.1(2));
  3. Tab bar (Fig.1(3)).

1.1. Top bar

The top bar consists of the path of the page and the Close button. The Close button closes the Contact page and opens the Contacts page.

1.2. Sidebar 

General contact information is displayed here.

It consists of  the following elements:

  1. Options button;
  2. Avatar; 
  3. Contact name;
  4. Owner;
  5. Description
  6. Labels.

1.2.1. Options button

Click the  button to open the options (Fig.2).

 (edit) - after clicking the edit button, the Edit contact modal window opens (Fig.3), where you can make changes.

 - (delete) - It removes an object with confirmation through a modal window (Fig.4). A modal confirmation window appears after clicking the button. Clicking the Yes button - deletes the object and opens the Contacts page. Clicking the No button closes the modal window, and the object is not deleted.

1.2.2. Avatar

An avatar is automatically substituted as name initials on the appropriate background for each Contact.

The background color of the avatar is determined by the first letter of the name. Both Latin and Cyrillic are considered.

1.2.3. Contact name

The Contact name is displayed here.

1.2.4. Owner

The name of the Contact owner is displayed here.

1.2.5. Description

The contact description is displayed here.

1.2.6. Labels

The Contact labels are displayed here.

1.3. Tab bar

The Tab Bar displays tabs with data for this Contact.

There are the following tabs:

  1. Communication options;

  2. Variables;
  3. Permissions.

1.3.1. Communication options

The Communication options tab contains the following tabs that display the communication settings for the Contact:

  1. Phone;
  2. Messaging;
  3. Emails.

 Phones tab is open by default  (Fig.1(3)).

1.3.1.1. Phones

The tab displays the parameters of the phone connection.

The  button opens Add the phone number modal window (Fig.5).

The Add the phone number modal window consist of the folowing fields:

  1. Communication type;
  2. Destination.
1.3.1.1.1.1. Communication type

The Communication type is selected in this field.

The drop-down list displays the Communication types that correspond to the communication channel.

1.3.1.1.1.2. Destination

The Contact's contact information, for example, a phone number, is entered here.


1.3.1.1.2. Registry

The registry consists of a set of fields:

  1. Phone;
  2. Communication type;
  3. Editing tool;
  4. Removal tool.

The  mark at the main phone number.

The Communication type is displayed in this field.

Use the button to edit the communication option. After clicking the button, the Edit the phone number modal window opens where you can make changes.

The tab in which the communication options of the Email channel are displayed.

The  Add the email modal window consist of the folowing fields:

  1. Communication type;

1.3.2. Attributes

It is designed to create attribute for the Contact.

Click the  button to add a new attribure. After clicking the button, the Add attribure modal window opens (Fig.7).

The Add attribure modal window consist of the folowing elements:

  1. Key;
  2. Value;
  3. Add button;
  4. Cancel button.
1.3.2.1.1. Key

The field is intended for entering a key.

1.3.2.1.2. Value

The field is intended for entering a value.

1.3.2.1.3. Add

Clicking on the Add button adds the entered attribure .

1.3.2.1.4. Cancel 

Clicking on the Cancel button closes the modal window, and the attribure is not added.

1.3.2.2.  Registry 

The registry consists of a set of fields (Fig.8):

  1. Key;
  2. Value;
  3. Editing tool;
  4. Removal tool.

1.3.2.2.1. Key

The attribure's key is displayed in this field.

The attribure's value is displayed in this field.

1.3.2.2.3. Editing tool

Use the  button to edit the attribure. After clicking the button, the Edit attribure modal window opens where you can make changes.

1.3.2.2.4. Removal tool

It is used to remove an object with confirmation through a modal window. A modal confirmation window appears after clicking the button. Clicking the Yes button - deletes the object and the entry. Clicking the No button closes the modal window, and the object is not deleted.

1.3.3. Permissions

Here, you select the Roles and their rights regarding this Contact.

It consists of the following elements:

  1. Creation tool (Fig.9(1));
  2. Refresh button (Fig.9(2));
  3. Registry (Fig.9(3));
  4. Pagination (Fig.9(4)).

The following Users/Roles get into the registry entries when creating a Contact:

  1. There are no entries in the Managed by records tab of the contacts section - only the User who created the Contact.
  2. There are entries on the Managed by records  tab of the contacts section: 
    •  the User who created the Contact:
    • those Grantees are listed on the  Managed by records tab of the contacts section for which the Grantor is the creator of the Contact. All the Roles of the User who created the Contact and the User himself are considered Grantor.

Примечание!

The entered Roles and their rights concerning this Contact are used when  Managed by records is enabled on the Objects page (switch in the On position) in the contacts entry.

1.3.3.1. Creation tool

Use the add button (Fig.8(1)) to add a Role. When you click the add button, the Add grantee modal window opens (Fig.9). The Role drop-down list contains a list of all Roles and Users.

To quickly find the desired User or Role, you can use the Grantee field as a search field: enter the name of the User or Role you are looking for, and only Users or Roles containing the entered expression will be displayed.

You can distinguish a User from a Role by icons:

 - a User;

 - a Role.

Clicking on a particular Role or User selects it. The Add button adds the selected Role/User to the registry entries. Clicking the Close button closes the modal window without adding entries to the registry. Clicking the close button () closes the modal window without adding entries to the registry.

The added Role, or User, has the following configuration:

  • Read - Allow;
  • Edit - Forbidden;
  • Delete - Forbidden.

These can be changed by selecting the required value in the column's drop-down list.

The User who created the Contact has the Allow with delegation access option for all actions.

1.3.3.2. Refresh button

Updating the register table is performed by clicking on the refresh button -

(Fig.8(2)).

1.3.2.3. Registry

 Consists of a set of fields:

  • Name - the name of the Role or User;
  • Read - drop-down list with permissions to read.;
  • Edit - drop-down list with permissions to edit.
  • Delete - drop-down list with permissions to delete;
  • Removal tool - removes the entry.

Permission options:

  • Allow - the action is allowed;
  • Allow with delegation - itself has permission and can grant such permission to others;
  • Forbidden - the action is forbidden.

1.3.3.4. Pagination

It consists of the Rows per page field, which indicates the number of entries (it is possible to set from 1 to 1000) per page, and forward and backward buttons for switching pages.

2. Opportunities

2.1. Add the Communication option to the Contact

Goal

Add the Email to the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or creating a new one.

Steps


  1. Open the Communication options tab.
  2. Open the Email tab.
  3. Click the button. The Add the email modal window opens.
  4. Select the type of communication in the Communication type field.
  5. Enter the Contact's email address in the Destination field.
  6. Click the Save button.

Result

The modal window closes. The entry is added to the registry in the Email tab.  

2.2. Remove the Communication option to the Contact

Goal

Remove the Email to the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or the creation of a new one;
  5. At least one entry in the registry.

Steps


  1. Open the Communication options tab.
  2. Open the Email tab.
  3. Find the entry you want to remove.
  4. Click on the delete button - . A modal window opens to confirm the deletion;
  5. Click the Yes button.

Result

The Email is removed from the registry.

2.3. Change the Communication option in the Contact

Goal

Change the Email in the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or the creation of a new one;
  5. At least one entry in the registry.

Steps


  1. Open the Communication options tab.
  2. Open the Email tab.
  3. Find the entry of the Email you want to edit.
  4. Click on the edit button in the entry of this Email. The Edit the email modal window opens.
  5. Make changes.
  6. Click the Save button.

Result

Data saved.

2.4. Add a attribure to the Contact

Goal

Add a attribure to the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or creating a new one.

Steps


  1. Open the Attribures tab.
  2. Click the add button - . The Add attribure modal window opens.
  3. Enter data into the Key and Value fields.
  4. Click the Add button.

Result

The modal window closes. The entry has been added to the registry.  

2.5. Remove the attribure from the Contact

Goal

Remove the attribure from the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or the creation of a new one;
  5. At least one entry in the registry.

Steps


  1. Open the Attribures tab.
  2. Find the entry of the attribure you want to remove.
  3. Click on the delete button - . A modal window opens to confirm the deletion;
  4. Click the Yes button.

Result

The attribure is removed from the registry entries.

2.6. Change the attribure in the Contact

Goal

Change the attribure in the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or the creation of a new one;
  5. At least one entry in the registry.

Steps


  1. Open the Attribures tab.
  2. Find the entry of the attribure you want to edit.
  3. Click on the edit button in the entry of this Variable. The Edit variable modal window opens.
  4. Make changes.
  5. Click the Edit button.

Result

Data saved.

2.7. Add a Role or User to the list of those who have access to the Contact

Goal

Add a Role that will have access to the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or creating a new one.

Steps


  1. Open the Permissions tab.
  2. Click the add button. The Add grantee modal window opens.
  3. Click on the Grantee field. A drop-down list of existing Roles opens.
  4. Select the required Role. The drop-down list is closed.
  5. Click on the Add button.

Result

The modal window closes. The entry is added to the registry.  

2.8. Remove a Role or User from the list of those who have access to the Contact

Goal

Remove the Role that has access to the Contact

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or the creation of a new one;
  5. At least one entry in the registry.

Steps


  1. Open the Permissions tab.
  2. Find the Role entry you want to remove.
  3. Click on the delete button - .

Result

The Role is removed from the registry.

2.9. Change action permission from Role to Contact

Goal

Change action permission

Preconditions
  1. Access to the CRM application;
  2. Access to the Contacts partition in the CRM application;
  3. Permission to create or edit in the Contacts partition;
  4. The presence of a Contact or the creation of a new one;
  5. At least one entry in the registry.

Steps


  1. Open the Permissions tab.
  2. Find the Role whose permission you want to change.
  3. Click the field in the desired column. A drop-down list will open.
  4. Select the required value from the drop-down list and click on it.

Result

Data saved.
